CONFERENCE ARRANGEMENTS

 


 

Venue

 

All plenary and concurrent sessions, symposium, posters, trade exhibits, evening functions and committee meetings will take place at the Westin Philippine Plaza Hotel.

 

Registration and Secretariat

 

The registration desk will be located at the lobby lounge of the hotel. Early registration will take place on March 16, 2003 from 1330 to 2100 hours.  On March 17-20, 2003, registration will be from 0800 to 1700 hours at the lobby lounge.  A secretariat desk will also be available at the lobby lounge.

 

Conference Language

 

Oral and poster papers and trade exhibits are in English.

 

Oral Papers

 

The sessions and schedules of paper presentations are given in the program. Invited plenary speakers are allotted 35-40 minutes for presentation and 5-10 minutes for questions and discussion. Voluntary papers in the concurrent sessions are allotted 10 minutes for presentation and 5 minutes for questions and discussion.  Session chairs may decide to pool the time for questions for all papers until the end of each session. 

 

Slides, transparencies and diskettes for projection should be submitted to the secretariat two hours before commencement of the session.  Slides and overhead projectors and LCDs will be provided.  All speakers are requested to submit a short CV on a prescribed form to their respective session chairs one hour before start of the session.

 

Session chairs are expected to check if the speakers are present, introduce briefly the speakers, moderate questions and discussions after each presentation and to keep speakers within time limits. Each session will have one-person in-charge of operating LCDs and projectors.

 

Poster Papers

 

Posters will be on display at the GPB Foyer.  Posters will be set up on March 16, 2003 in the afternoon or on March 17 at 0700 to 1000 hours before the opening ceremonies. Viewing of posters and trade exhibits will start on Monday, March 17 at 1300 hours until 1700 hours on Friday, March 21.  Other details on setting up of posters and trade exhibits will be provided by the Secretariat or the Poster Committee.

 
Field Trip

 

Participants who plan to join the field trip are requested to sign up with the Secretariat.  This is necessary for arranging transport to the site.  There will be no transport charges for the field trip for registered participants. Light refreshments will be served and lunch will be served in a restaurant on the way to Lumban.  Entrance fees to tourists’ spots will be borne by

participants.  Participants who registered for the field trip are requested to assemble at the Westin Philippine Plaza Foyer at 0600 hrs on 19 March 2002.  Other details on the trip will be available during registration.

 

Trade Exhibits

 

Trade exhibits on agricultural chemicals, field equipment, protective apparel, books and publications and other related materials will also be on display.  Exhibit booths are located at the GPB Foyer and will remain open from 0900 hrs on Monday, 17 March until 1700 hrs on Friday, 21 March.

 

Meals

 

Morning and afternoon snacks and lunch will be provided for registered participants.  A vegetarian lunch menu may be arranged upon request.  Lunches are served via meal vouchers, which will be given to registered participants.  On the day of the field trip, light refreshments and lunch will be provided for those who have signed up for the field trip.

 

Conference Dinner

 

A welcome reception and fellowship night will be held in the evening of Monday, March 17, at the hotel garden. The banquet and closing ceremonies will be held in the evening of Friday, March 21 at the Davao room.

 

Travel and Tours (Pre- or Post-Conference)

 

Representatives of the Anscor-Casto Travel Agency will be available at the hotel lobby near the Secretariat to provide assistance to delegates planning to go on pre- or post-conference tours. APWSS Support to Young and Deserving Weed Researchers

 

Since the 15th Conference in 1995, the APWSS Executive Committee has initiated a financial support scheme for young and deserving weed scientists from developing countries within the Asia-Pacific region to attend the Society’s conferences.  A sum of US$1,000 is given to two to three participants selected by an Evaluation Panel based on a set of criteria.  Applicants should not be more than 35 years of age and currently engaged actively in weed science research, teaching, extension or related activities.

 

APWSS Best Paper Award

 

APWSS, in collaboration with Monsanto, has sponsored the Best Paper and Best Poster Competition since the ninth conference in 1983 to promote and encourage high quality research in weed science.  There are three awards each for Best Paper and Best Poster. Winners are selected by a team of judges based on a set of criteria. Prizes consist of a plaque and cash prize.  Winners are announced and awards are presented at the closing ceremonies.
